Zapier is the right tool for straightforward integrations between SaaS tools — when you need a simple trigger-action workflow and don't need complex branching, error handling, or data residency control. I use it for simpler projects and to bridge tools that don't have n8n connectors.
Zapier works well when the workflow is genuinely simple: new lead in one system triggers an action in another. When the logic gets more complex — branches based on data values, error handling, retries, loops, or large data volumes — it starts to struggle and costs scale quickly with task volume. For clients who already use Zapier and want to extend it, I'll work within Zapier. For new projects, I typically evaluate whether the complexity warrants n8n or Make instead. The honest answer is that most real-world business automation outgrows basic Zapier within 6 months.
