Financial Services Firm Automation Checklist
Use this checklist to find the onboarding, document and review work in your advisory, accounting or insurance firm that can be automated without losing control. Tick each item that is still manual.
Client onboarding
- A signed engagement triggers a welcome message, a secure document request and CRM tasks.
- Required documents are tracked per client, and missing items are chased on a schedule.
- Client data entered once flows to the CRM, planning or accounting tools without retyping.
Ongoing service
- Annual and periodic reviews are scheduled automatically, with prep notes gathered in advance.
- Meeting notes and follow-up tasks are logged to the client record after each meeting.
- Tax season or renewal reminders go out by segment, not one email at a time.
- Recurring reports are generated and delivered on a set date.
Controls to confirm
- Client communications that must be archived are captured by an approved system.
- Sensitive documents move through a secure portal, never plain email attachments.
- Any automation that sends advice, trades or moves money requires a human approval step.
- Access is reviewed when staff join or leave, and every automation keeps an audit log.
Where to start
Start with document collection. It is usually the biggest time drain and the easiest to automate with an approval step kept in place.
