Real Estate Agency Automation Checklist
Use this checklist to spot the lead follow-up, showing and transaction tasks your agents still do by hand. Tick each item that is not automated yet.
Lead response
- Every new portal, website and ad lead lands in one CRM, with the source recorded.
- New leads get a personal first reply within five minutes, day or night.
- Leads are assigned to an agent by rule (area, price range or rotation) and the agent is notified.
- Leads that go quiet enter a follow-up sequence instead of being forgotten.
Showings and open houses
- Showing requests are confirmed and reminded automatically.
- Open house sign-ins are added to the CRM the same day, with a thank-you message.
- Buyers get a feedback request after each showing, and answers are shared with the listing agent.
Under contract
- Key dates (inspection, appraisal, financing, closing) create tasks and reminders when a deal goes under contract.
- Clients get a short status update at each milestone without the agent writing it from scratch.
- Missing documents are chased with scheduled reminders.
After closing
- Closing anniversaries and home-value check-ins are scheduled for past clients.
- Review and referral requests go out at a set time after closing.
Where to start
If speed to lead is unchecked, start there. A slow first reply loses more deals than any other gap on this list.
