How I use Keap

I use Keap contact, tag, campaign, opportunity, and invoice data to coordinate nurture flows, internal task routing, and payment-related follow-up. For event-driven work, I use verified REST Hooks where the required event is available and reconcile against the API when delivery fails. Because Keap OAuth grants broad access through its full scope, each build also needs an explicit retention policy for copied customer data.

Use Keap OAuth 2.0 for delegated or multi-account access; Keap documents one broad OAuth scope, full, rather than granular resource scopes. A Personal Access Token or Service Account Key can be used for a private server-side integration and is restricted to the single Keap application that authorized it.

  • Personal Access Tokens and Service Account Keys are limited to 10 queries per second, 240 per minute, and 30,000 per day for one authorized application.
  • Keap restricts continuous or unfiltered export patterns; use REST Hooks, filtering, caching, pagination, and backoff instead of full-database polling. Hooks require verification and become inactive after repeated delivery failures.
  • Access follows the authorizing Keap user's application permissions; copied data and downstream deletions need an explicit retention and reconciliation policy.
