A solo RIA with 90 client relationships was spending 2–2.5 hours preparing for each annual review. The process: manually export performance data from the custodian portal, manually update planning assumptions in the financial planning software, pull benchmark comparisons, then format everything for the meeting presentation. For 90 clients, that was close to 200 hours of prep-only time annually — roughly 5 full work weeks.
We built a custom MCP server connecting to the custodian's data API, the planning software, and the CRM. Before each scheduled review, the advisor runs one command: 'Prepare for the Johnson review at 2 PM.' The MCP pulls year-to-date performance, benchmark comparisons, planning outputs, any life events or CRM flags, and surfaces anything that changed materially since the last review. Output is a structured briefing that populates the meeting template.
Review prep time dropped from 2.5 hours to about 20 minutes of reviewing the MCP-generated briefing and adding personal context. Across 90 annual reviews, that's 105 hours saved per year. The advisor described the bigger benefit: 'I actually look at the full picture before every meeting now instead of just the stuff I had time to pull.'
