Most dental offices do not need a big AI project. They need the phone answered, tomorrow's patients confirmed, overdue patients brought back and insurance checked before the visit. Those four jobs eat the front desk's day, and all four can be automated with the software the practice already runs. This guide walks through what to automate first, which practice systems it works with, what it costs, and how to start without disrupting the schedule.
Prices in this guide were last reviewed on October 29, 2026, and match the dental package page.
Where front desk time actually goes
Before you buy anything, spend one week counting four things: calls that went unanswered, patients who did not show, hygiene patients more than six months overdue, and insurance checks that happened the morning of the visit. Most offices are surprised by the first number. A missed call during lunch or after hours is often a new patient who books somewhere else.
Our free dental missed-call calculator turns your own counts into a monthly figure, so you can decide with your numbers instead of ours.
The four jobs worth automating first
- 1Missed-call text-back. When a call goes unanswered, the patient gets a text within a minute with a link or times to book. Front desk staff see the thread and can step in at any point.
- 2Appointment confirmations. Patients booked for tomorrow get a text. A reply of C confirms, R asks to reschedule, and the schedule updates without a phone call.
- 3Recall. Patients past their hygiene interval get a friendly reminder with open slots, on a schedule you choose, and the system stops once they book.
- 4Insurance pre-checks. Eligibility gets checked two days before the visit, and anything that fails lands on a short list for staff, not at the front desk with the patient standing there.
None of these replace your team. They take the repeat work so staff can spend time with the patients in the room.
Which practice systems it works with
The packages are built around the tools dental offices already use: Open Dental, Dentrix, Eaglesoft, Curve Dental and Weave. The exact connection depends on the system and its version. Open Dental has a documented API. Dentrix and Eaglesoft usually need their vendor's integration program or a local connection on the office server. Curve Dental is cloud-based. Weave often already handles texting, in which case we build on top of it rather than adding a second texting tool.
We confirm the connection method on your actual setup before quoting, because two offices on the same product can be on different versions. Our case study on syncing Open Dental appointments shows what one of these connections looks like in practice.
Tell us your practice software and the biggest front desk gap and we'll map the first fix.
The three dental packages
| Package | Setup | Monthly | What it covers |
|---|---|---|---|
| Patient communication | $638 | $134 | Website assistant, SMS confirmations, monthly no-show report |
| AI front desk (most popular) | $1,278 | $238 | Everything above plus missed-call text-back, appointment requests, after-hours routing, new patient intake |
| Full practice automation | $2,398 | $398 | Everything above plus recall, review requests, insurance pre-checks, practice system integration |
Most offices start with the AI front desk, because missed calls are usually the biggest leak. Setups under $1,000 are paid upfront; the two larger ones are paid half at the start and half at handover. The full rules are in how automation pricing and payment work.
Patient data and HIPAA
Anything that touches patient names, appointments or insurance is protected health information. Every vendor in the chain that handles it needs a business associate agreement, texts should carry the minimum detail needed, and access should be limited to the people who need it. We map every tool that will see patient data before the build, and we will tell you if one of your current tools cannot sign the agreement you need. Shariq, our founder, holds the CPHIMS credential and spent years on Medicare data programs, so this part is not new to us. Our write-up on HIPAA and AI tools goes deeper, and the security page explains how we handle access.
What to expect in the first month
Week one is mapping. We look at your phone setup, practice system and current confirmation process, and agree what the texts say. Week two is building and testing on sample appointments. Week three is a soft launch on one provider's schedule or one location. Week four is the full rollout and a handover call where your team sees how to pause, edit and review everything.
If something we built breaks in the first 30 days after launch, we fix it at no charge. After that, the monthly fee on the package covers monitoring and small changes.
Mistakes to avoid
- Texting too much. Two confirmation messages are plenty; more makes patients ignore all of them.
- Automating a messy schedule. If templates and provider columns are inconsistent, fix those first.
- Leaving staff out. The front desk should approve the wording and know how to take over a thread.
- Buying a second texting tool. If you already pay for Weave or similar, build on it.
- Skipping the baseline. Count missed calls and no-shows for a week before launch, or you will not know whether it worked.
How dental offices compare options
Some offices try a general chatbot first. It can answer website questions but rarely writes back to the practice system, so staff still copy details by hand. Others hire a second front desk person, which helps during office hours but not at 9 pm. A package like the ones above costs less than a part-time hire and works around the clock, but it still needs a person to own the patient relationship. Our AI agents vs virtual assistants comparison covers that choice in more detail.
Results from real practices
We have case studies with the numbers from real builds: cutting no-shows for a dental group and routing implant inquiries with AI. Read those for what changed, how long it took and what the staff had to do.
Where to start
Use the calculator to put a number on missed calls. If that number is bigger than the AI front desk fee, start there. If you want a second opinion first, describe your setup in the form below, and you will hear back within one business day. You work directly with Shariq, the founder, from the first reply to handover.
